Terms & Conditions
The important stuff, written clearly. Here's how we handle your music, your rights, and your records.
Last updated: October 2026
01. About Us
VinylArt Co LTD
Unit 2, 26 Hadfield Road
Cardiff, CF11 8AQ
United Kingdom
You must be at least 18 years old to place an order with us.
02. How Orders Work
Browsing our site and adding items to your cart doesn't create a contract. A legally binding agreement forms when you receive your Order Confirmation email.
Pricing
- Prices are shown as you pay them: any tax for your delivery country is included or shown at checkout
- Website prices update in real-time to reflect currency exchange rates
- Quotes given via email or message are valid for 24 hours
03. Licensing & Private Use
VinylArt Co LTD holds an MCPS-PRS Limited Manufacture licence for the mechanical reproduction of music. This covers custom compilation-style records for special occasions—think wedding playlists, birthday mixtapes, or anniversary collections.
What This Means for You
You can include commercially released music on your custom record, and we're legally covered to produce it—as long as it's for your private, non-commercial enjoyment.
Private Use Only
Records produced by VinylArt are for your personal, private use only. You agree not to distribute, sell, broadcast, or commercially exploit the records we produce—unless you own the full commercial rights to the master recording and publishing.
No Album Reproductions
Our licence covers custom compilations, not reproductions of existing albums. We cannot recreate someone else's album, whether it's in the shops or long out of print, and changing the running order or leaving a track off doesn't change that.
04. Your Content & Copyright
Artwork Is Your Responsibility
Unlike audio (which we're licensed for), we hold no licence for images or artwork. By placing an order, you warrant that you own or have obtained all necessary rights and permissions for any images, logos, and artwork you submit.
While we reserve the right to review submissions and refuse any order at our sole discretion, we assume no duty to monitor or verify the copyright status of customer-submitted content. The responsibility for legal ownership rests solely with you.
Safe to Use
- • Your own artwork & photos
- • Licensed stock images
- • Public domain content
- • Generated pictures
Avoid Without Permission
- • Album artwork & logos
- • Band/artist branding
- • Fan art
- • Trademarked phrases
We do not produce bootlegs, counterfeits, or unauthorized reproductions of commercially released recordings. Orders identified as such will be cancelled without refund.
05. Indemnification
You agree to indemnify and hold harmless VinylArt Co LTD, its directors, employees, and agents from any and all claims, liabilities, damages, losses, and expenses (including reasonable legal fees) arising from:
- Any breach of your warranty that you own or have rights to the submitted content
- Any third-party claim that content you submitted infringes their intellectual property rights
- Your violation of any applicable laws or regulations
Simply put: make sure you have the right to use what you upload, and we're all good.
06. Delivery
- We aim to dispatch orders within 30 days of confirmation
- Specific delivery dates cannot be guaranteed
- Ownership of goods transfers to you upon delivery
07. Cancellations
You can cancel for a full refund while your record is still being mastered or checked, up until we start cutting. Once cutting begins, it's being made just for you and can't be cancelled.
Much of the early work is automatic, so the window can be short. To cancel, please contact us straight away.
08. Returns & Replacements
Every record we make is custom-crafted for you. Because of this—and GDPR regulations regarding personal data—custom products have no resale value and cannot be resold.
| Situation | What We Do |
|---|---|
| Manufacturing defect or technical issue | Free Replacement |
| Damaged during shipping | Free Replacement |
| Change of mind | No refund (custom item) |
Please report any issues within 14 days of receiving your order. We look into every report within 48 hours.
09. Lathe-Cut Records
Our records are hand-cut on a lathe, not pressed from a stamper. This means lead-in grooves, track gaps, and lead-out are done by hand, resulting in slight variations compared to factory-pressed records.
On rare occasions, this can affect auto-play or automation features on some turntables. This is normal for hand-crafted vinyl and not considered a defect.
10. Liability
We don't limit our liability for fraud, personal injury, or death caused by our negligence.
We are not liable for losses that were not foreseeable, or for any business losses.
11. Store Credit & Gift Cards
Store credit can be added to your account via direct top-up or by redeeming a gift card code. Credit can be used for picture tools in the designer, such as generating or sharpening a picture, or applied as payment towards orders at checkout.
Non-refundable: Store credit cannot be redeemed for cash, transferred to another account, or refunded to a bank account or payment method.
Expiry: Store credit in your account does not expire.
Gift cards: Gift card codes are single-use and add their face value to the redeeming user's store credit balance. Gift cards can be redeemed by anyone with a VinylArt Co account — you can purchase a gift card and share the code with someone else. A gift card code is valid for 24 months from the date of purchase; the expiry date is shown on the gift card, and a code not redeemed by then can no longer be used. Gift vouchers are non-refundable once redeemed. An unused voucher can be refunded to the buyer within 14 days of purchase, and the refund cancels its code. Once redeemed, the credit is store credit: it does not expire and is subject to the same non-refundable terms as store credit.
12. Privacy
We handle your personal data in accordance with our Privacy Policy. We may contact you via email regarding your orders and account.
13. Governing Law
These terms are governed by the laws of England and Wales. Any disputes will be handled in the courts of England and Wales.
